If you want to appoint special leave to an employee but don't want it to be taken from their leave allownace, there are two ways to solve this.


Option 1 - Create a separate unlimited budget

You can add a special leave type with an unlimited budget. By not setting a limit, employees can't get a negative budget and team leaders or admins can process requests and decide whether to approve it or not.

Step 1
Go to Leave > Leave types

Step 2
Click on "Add leave type" and pick "+ New leave type" (not a template).

Step 3
Give it a clear name, such as "Special leave". This will be visible to employees.

Step 4
Set "unlimited budget" as calculation setting.

Tip! Employees can see who has requested what type of leave in the calendar by default. In case you want special leave requests to remain private, then tick the box "Hide name of leave type in the calendar" under the "Advanced" settings section.

Step 5
Save the leave type and appoint it to all (new) employees. Now employees can select "special leave" so a request will be taken from that budget.

Option 2 - Manually tick a box

When approving leave requests, admins can change special leave requests. You just tick the box "Leave request not charged on leave allowance".

Now the leave is set as a holiday, but it is not taken off the allowance. You can use labels to streamline the leave requests.
