When you are logged into HoorayHR, you can access your individual personnel file by clicking on My profile
. Here, under tabs, you will find all information about your employment, leave, absence, hours worked, declarations and more. This ensures that you can access your own data and important documents at any time.
What will you find in your personnel file?
Your personnel file consists of several parts, each with a specific function:
1. Overview
This is the home page of your personnel file. Here you can see important data at a glance, such as a summary of your leave requests and planned holidays. Any outstanding tasks or notifications are also displayed here.
2. Profile
Your profile contains your personal data such as name, address and contact information. As an employee, you can edit most fields yourself. However, there are exceptions.
Not editable by yourself: Job title, Team, Employee number and any additional fields added by an administrator and deliberately set up not editable by employees.
3. Employment
Here you will find all the details about your contract, such as:
Start date and (if applicable) end date of your contract.
Terms of employment, including salary and contract hours.
Your work schedule, giving you insight into your working days and availability.
Possibly a signed version of your contract as a PDF.
4. Leave
Want to request leave or view your leave budget? Here you will find:
An overview of your current leave budgets incl. an overview where you can see per leave type how your leave budget is structured, what it is spent on, and when the leave expires.
A list of all leave requests, including approvals and rejections.
5. Sick leave
Under sick leave you will find an overview of previous absences and other absence records. This helps you understand your own absence history.
6. Hours
If your employer uses hours registration, you can see here:
Which hours you have registered.
Whether your overtime has been processed (e.g. paid out or recorded as time-for-time).
7. Expenses
Here you can view your submitted expense claims and travel expenses. You can immediately see the status of your claims and whether they have already been approved and processed (=paid).
8. Workflows
Workflows help complete tasks such as onboarding or appraisals. In this overview, you can see:
Which workflows are currently active for you.
Which tasks have been assigned to you and what the progress is.
9. Documents
Here you will find all important documents such as your payslips and annual statements. Depending on how your employer has set this up, other documents such as contracts or e.g. loan agreements can also be stored here.
10. Performance
Here you will find an overview of your growth within the company. This includes:
Interview reports from performance and assessment interviews.
Goals you have set and their progress.
11. Company assets
If your company has given you a laptop or phone, for example, these are registered here. So you know exactly what resources you have on loan and what the agreements are about them.
Who can see what?
Your personnel file is obviously not fully visible to everyone:
You yourself have full access and can edit most profile data yourself (except for the fields mentioned earlier).
Administrators can access and edit all data.
Team leaders (if set) can see limited information, such as leave requests and team-related data.
Other colleagues can only see basic data such as your name, team, work schedule and position, e.g. to get to know new colleagues.
