To generate a document, first create a document template with variables. When generating, the variables from the template will be replaced by data from HoorayHR. This is useful for contracts or lending agreements, for example. This saves time and ensures error-free documents.

Step-by-step: generating a document

Step 1: Generating a document

  • Open the ‘Documents’ feature within HoorayHR.

  • Click on the ‘Actions’ button.

  • Then select the ‘Generate document’ option.

Step 2: Select a template

  • Select which template you want to use to generate a document.

Step 3: Fill in the general data

  • Select which colleague you want to generate the document for.

  • Give the document a title. This is also visible to the colleague.

  • Select a category and label for the document.

Step 4: Check the variables

  • You see here a list of all variables used in the document, and what value these fields have in HoorayHR.

  • Check that all variables are filled in correctly. If any fields are missing, or if you want to add new items such as contract or employment conditions, you can do so directly without having to leave the page. These will be saved immediately in the personnel file.

Do you use contract or asset fields in the document? Then we automatically link the document to the item. This makes it easier to find the related item later!

Step 5: Review the summary

  • In the summary, review whether all the data is correct. In the preview, you see yellow highlighted fields, these are the variables HoorayHR replaced. These highlights will be removed when you save the document.

  • Do you want to change anything else? Then you can navigate to the previous steps.

Step 6: Save document

  • Happy with the preview? Click on ‘Save’.

  • You will now be redirected to the document you have just generated. The document is not yet visible to the employee. From here, you can share the document or offer it for signature.
