Using multiple entities in one environment

Do you work with several legal entities, such as different private limited companies or foreign branches? With the Entities functionality, you manage all employees, integrations and reports centrally within one environment.

What can you do with entities?

With entities you can:

  • Manage multiple legal structures in one environment. Add unlimited entities and link employees to the appropriate entity.

  • Set up integrations per entity. For example, link separate payroll or accounting integrations per entity.

  • Filter reports by entity. Create overviews by entity for better insight and reporting.

Note: For employees, nothing changes: they continue to see colleagues from other entities and can be in one team together.

Activate and set up entities

  1. Go to Company settings > Entities

  2. Click Activate to enable the functionality

  3. Add an entity via + Add entity

  4. Link employees to the correct entity via the personnel file

  5. (Optional) Link the desired integrations per entity, e.g. for payroll or accounting

Tip: Give entities clear names (e.g. "BV Nederland" or "Holding Belgium") so they are recognisable in overviews and reports.

Group reports by entity

Do you want to distinguish between entities in reports? In a report, go to the settings icon at the top right and select Group by entity. The view now changes from teams to entities, giving you insight into e.g. absence, leave or contract types by entity.

Frequently asked questions

Can employees see which entity colleagues are in?

Entities are only visible to administrators. In the colleague overview, as an administrator you will see an extra column Entity with the linked entity of each employee.

Can I link someone to multiple entities?

No, a colleague can only be linked to one entity at a time. You can also place a colleague in no entity, but you cannot then set up integrations for this colleague.

Can I set up that colleagues from different entities cannot see each other?

No, this is not possible. Entities work within HoorayHR as one organisation. Only for integrations is it determined per entity where data goes.
