If you are working with Recruitee and you have hired a new candidate, you can make sure that this candidate is added directly to HoorayHR. From there, you can onboard the new colleague and make sure his or her profile is populated in HooryHR. But first, how do you link Recruitee to HoorayHR?
Note: You need a 'Scale' or 'Lead' subscription in Recruitee in order to connect with HoorayHR!
Create linking data from within Recruitee
Before you can activate the integration in HoorayHR, in Recruitee there are a number of credentials that need to be created that can be used to create the link between the two systems.
Two pieces of information are required:
These can be retrieved in Recruitee following the steps below:
Step 1. Go to "Settings"
Step 2. Then choose 'Apps and plugins'
Step 3. Select 'Personal API tokens' here. A new token can be created here.
Give the token a name (for yourself, for example: 'link HoorayHR')
The token will then appear
After creating a token, you can paste the company ID and token into the Hooray setup wizard. All the steps for that, you'll find below.
Activate integration in HoorayHR
Activating integration with Recruitee via HoorayHR is done through the steps below.
Step 1. In HoorayHR, go to the 'Integrations' tab
Step 2. Click here on 'Activate integrations'
Step 3. A new tab will then open and search for 'Recruitee' here
Step 4. Click Recruitee and fill in the following details:
Company ID (for explanation, see "Creating link details from within Recruitee")
API token (for explanation, see "Creating link details from within Recruitee")
Webhook secret (for explanation, see "Automatic import")
Step 5. Click 'Next'
Step 6. It worked! Click 'Done' to complete the wizard.
Adding new colleagues to HoorayHR from Recruitee can be done in 2 ways. One option is automatically as soon as a colleague is hired and is also assigned this status in Recruitee. The other way is a manual import into HoorayHR itself. Below, we will explain both variants.
Automatic import (via webhook)
To ensure that colleagues who have 'hired' status in Recruitee are added directly to HoorayHR, you need so-called 'webhooks' for this purpose. With these webhooks, Recruitee sends a signal to Hooray as soon as a candidate is hired.
Creating a webhook in Recruitee can be done as follows:
Step 1. Go to Settings in Recruitee
Step 2. Choose 'Apps and plugins' here
Step 3. Select 'Webhooks'
Step 4. Click on a new webhook
Step 5. Enter a name (for internal use, e.g. 'link HoorayHR')
Step 6. Enter the following "publish URL": https://api.hooray.nl/recruitee/webhooks
Step 7. Tick "Move within funnel"
Step 8. Click "Confirm and create"
Step 9. Copy the "Secret" at the bottom of the page (click "Show secret" first to bring it into view)
Step 10. Paste the copied "Secret" into the integration setup wizard
Note: If this is not activated, the import will not go automatically.
Once you set up the webhook, candidates that are set to "hired" in Recruitee are automatically created in HoorayHR. And should an import be run, all admins of the Hooray environment will receive an email notification about it.
Besides automating new colleagues in HoorayHR, you can also import manually. Follow the steps below to perform a manual import into HoorayHR.
Step 1. Go to 'Colleagues'
Step 2. Click on 'Add colleagues'
Step 3. Next to the 'Add colleagues' button, click the down arrow for 'Import from Recruitee'
Step 4. Select from the list who you want to import.
Step 5. Click on 'Import'.
And you're done! Now you can complete this colleague's profile with all information, such as name and address details and contract dates. More information on how to fill the profile of the new colleague can be found on this page from our Helpcenter.
The following data is imported (if available) from Recruitee:
* if there are multiple e-mail addresses or phone numbers, the first one (in Recruitee, the top one) is used.
Disable e-mail notifications of imported candidates
When a candidate is automatically imported from Recruitee (via a webhook), all administrator users in your company are notified by email. If any errors occurred when importing the candidate, this will also be mentioned along with the reason why it failed.
If you do not want to receive these e-mail notifications, you can disable them as follows:
Click on your profile picture at the top right > 'My settings'
Go to the 'Notifications' submenu
Uncheck 'Recruitee imports'
Click on 'Save' in the top right corner
