Time policy | Automatic overtime

With automatic overtime, the system compensates extra hours as soon as they exceed a certain threshold. In the time policy, you decide when overtime applies, which compensation type to apply, and whether to calculate it per day or per week. This means you don't have to apply it manually when logging hours.

Set up automatic overtime

To use automatic overtime, go to the relevant time policy or add a new one. Scroll to the automatic overtime section and switch this feature on (green).

How we calculate overtime depends on the period set in the policy:

  • When you register per day, we can only calculate overtime per day.

  • When you register per week, you can calculate overtime at both day and week level.

Note: we award week-level overtime on the last day of the week. Only then can we see whether you worked overtime.

Next, set after how many hours and/or minutes an overtime rule applies and choose the compensation type you want.

Tip: haven’t created any compensation types yet? In the compensation type field, select manage compensation types to create new ones.

Automatically deduct negative hours

You can deduct negative hours from the time off in lieu budget, for example when an employee logs fewer hours than expected.

Note: this only happens when someone submits a request that includes negative hours.

Include minutes up to the first overtime threshold

You can choose to include the threshold time in the overtime calculation once you cross the first overtime threshold.

When should you use automatic overtime?

Automatic overtime is useful when you:

  • work with fixed agreements about overtime

  • want to apply the overtime policy equally across the whole team

For flexible or occasional situations, you can also use manual compensations.
