Using sections in workflows
Some processes are more complex than others and consist of multiple phases. For example, consider the process of onboarding a new employee: it might include preboarding, onboarding, and evaluation. These phases don’t occur simultaneously but follow one another over time.
To structure such complex processes clearly in a workflow, you can use sections.
Order
In the workflow template, you can set whether sections must be completed in a fixed order. If this is enabled, only the first section is unlocked when a workflow is activated, while the remaining sections stay locked. If not, all sections are unlocked immediately upon activation.
Tasks in a locked section are not yet visible to employees and cannot be marked as completed. Task owners will only receive notifications when a section is unlocked, allowing them to start the tasks in that section.
Tip: Want to change the order of sections? You can easily drag them to the correct position.
Unlocking sections
If sections are to be completed in order, you can choose whether they are unlocked manually or automatically.
With automatic unlocking, the next section is unlocked as soon as the last task in the previous section is completed.
With manual unlocking, it is the workflow manager’s responsibility to unlock the next section.
The workflow manager always receives a notification when a section is completed. Additionally, the workflow manager can manually lock or unlock sections within a workflow at any time.
