Registering company assets

In this article we’ll explain how you can register company assets in HoorayHR.

HoorayHR helps you keep track of all your company assets. You can create an overview of all the assets an employee has or has ever had: from e-mail and software accounts to laptops and lease cars. You’ll never loose track of anything again and you know exactly what you’ve provided to who.

If your company has a very long list of assets, please contact our support team so they can assist you by using an import sheet.

Overview of company assets

Administrator can access the overview to see what assets they have and which employee is using them.

The overview shows you the following:

  1. Which employee possesses what asset right now

  2. Label

  3. Model

  4. Description

  5. End date (an asset could expire, so administrators get notified when this is about to happen)

  6. Status (available, expired, in use)

Creating and managing labels

Several labels have been created to sort out your company assets easily. For example, “Car”, “Computer”, “Key” etc. Administrators can create new labels to provide their own structure to company assets.

Creating labels

Step 1: Access the Overview of company assets and click “Add new label”.

Step 2: Give the label a name.

Step 3: Save! The label has now been created.

Managing labels

Step 1: The Overview of company assets shows you an edit button with three dots behind every label.

Step 2: Select “Edit label”.

Step 3: Pick a new name.

Step 4: Save! The label has now been updated.

Deleting labels

Step 1: The Overview of company assets shows you an edit button with three dots behind every label.

Step 2: Select “Delete label”.

Step 3: Read the pop-up and delete the label by writing its name as a confirmation.

Step 4: Save! The label, including all accompanying company assets, has been deleted now.

Please note! Deleting a label including the company assets cannot be undone.

Registering company assets

Step 1: Click “Add asset” in the Overview of company assets.

Step 2: Select a label (obligatory).

Step 3: Select a model (obligatory).

Step 4: Enter the date of purchase (optional).

Step 5: Enter the end date (optional).

Step 6: Put in relevant comments (optional).

Step 7: Save! You have two options: Save it, or save it and hand it over to an employee directly (see below).

Please note! By default, administrators will get notified 60 days and 1 day before the asset expires.

Handing over company assets directly.

After creating a company asset you can opt to hand it over directly to an employee.

Step 1: The Overview of company assets lets you search through the company asset(s) you want to hand over.

Step 2: Click the “Assign” button.

Step 3: Select which employee is using the asset.

Step 4: Select the date of issue.

Step 5: Select the employee who issued the asset.

Step 6: Put in relevant comments.

Step 7: Save!

After saving the timeline shows which employee is using the asset.

Please note! You can also directly retrieve company assets. Useful if you want to register your company assets retrospectively.

Directly retrieve company assets.

Do you want to retrieve a company asset? No worries.

Step 1: The Overview of company assets lets you search through the company asset(s) you want to retrieve.

Step 2: Click the “Retrieve” button. You can also do this from the timeline.

Step 3: Select the date of retrieval.

Step 4: Select which employee has retrieved the asset.

Step 5: You can change the comment as well.

Step 6: Save!

After you hit save, the asset is available again. You can now issue it to another employee.

Delete company assets.

Step 1: The Overview of company assets lets you search through the company asset(s) you want to delete.

Step 2: Select “Delete company asset including timeline”.

Step 3: Confirm

Step 4: The company asset, including the timeline (which employees have used it) has now been deletedd.

Please note! Deleting an asset including the timeline cannot be undone.
