What are workflows?

Workflows are smart task lists that help your organisation manage HR processes clearly and streamlined. Whether it's onboarding and offboarding, the performance cycle, contract renewals or long-term absenteeism. With workflows, you will never forget a task again!

Organising workflows with categories

It is possible to divide your workflows and templates into different categories. This way, you create a good overview of all types of processes within your organisation. You can choose from a number of standard categories, but it is of course also possible to create your own categories in HoorayHR.

From the overview with categories, you can immediately see which business processes there are, how many active workflows are running and whether any tasks are behind within these workflows.

Tip: if you have different types of onboarding processes, use labels to distinguish between them. You can then easily filter on the labels in your overviews to see exactly how things stand.

Flexible templates: sections, roles, smart actions and automatic deadlines

Workflow templates can be used to set up processes and define tasks. A workflow template consists of a set of tasks that together complete a process. For each task, you can set who, what and when something should be done. For this, you can use:

Roles

Use roles to indicate which colleague is responsible for performing specific tasks within a workflow; the process. Think of roles such as ‘employee’, or for example ‘HR manager’ or ‘payroll administrator’. You choose the roles you use in a template and how you name them. Per task, you simply assign a role, so it is clear who is responsible for it. When starting the workflow, you assign a responsible colleague per role. Then all associated tasks are automatically assigned to this colleague.

Smart Actions

It is possible to add an action to a task. Think of uploading a document, starting a job or a link to an external website. For some actions, such as ‘document upload’, you simply choose which category it should be added to.

Automatic Deadlines

A deadline can be attached to tasks; this is determined to determine whether a workflow is behind schedule and to send reminders to those responsible. It is possible to have deadlines automatically calculated based on the ‘deadline date’. You can add a name to give meaning to the deadline date, for example ‘the first working day’ in an onboarding workflow.When setting a task deadline, you can easily choose how many days before or after the workflow date a particular task must be fulfilled. When starting the workflow, you set the deadline date and deadlines for all tasks are calculated automatically.

Sections

Tasks can be grouped into (sequential) sections. This way, it is possible to link different phases to your workflow, i.e. your business process. Useful, because you can, for instance, create a section for the pre-boarding, onboarding and evaluation phase when a new employee joins.

Overview of progress of all workflows

The Workflows overview page shows an overview of all workflows within the organisation. When you click on a category, you can easily see the progress of the current workflows. This view has been updated to provide an even clearer overview of progress.

Further improvements

We have highlighted some major and new improvements for you. In addition, the Workflows 2.0 update includes some other improvements that will help you optimise business processes even more easily.

Some further improvements that have been made:

✅ Insight into when and by whom a task has been checked off (and unchecked)

✅ Start workflows in bulk for multiple colleagues

✅ Easy searching and filtering

✅ Add workflows in draft status

✅ Expanded overview of workflows in the personnel file

✅ Workflow admin rights for standard users

How do I migrate to Workflows 2.0?

Good news: all your existing workflows and templates have been automatically migrated to our new version of Workflows. So you can already use the new features now.

A few things you can do:

☑️ Organise your processes with categories. Create categories and add your existing templates and workflows to them for more overview.

☑️ Check and update your templates. Set roles, smart actions and automatic deadlines for your tasks and possibly divide tasks into different sections.

☑️ Update active workflows. For your existing workflows, set the role 'Collaborator' so that you can find these workflows more easily. Tip: this can also be done in bulk from the overview.

That's it! You're all up-to-date for Workflows 2.0!
